Privacy Policy
What this website collects, why, who else sees it, and what you can do about it. Written to be read, not to be skimmed past.
1. Who we are
Robert E. Sutton Co., Inc. is a pavement maintenance contractor based in Truckee, California, working across Truckee, North Lake Tahoe, and the Nevada side of the lake. We hold California contractor license #510637 and Nevada contractor license #29573 (A-8). Mail reaches us at P.O. Box 34032, Truckee, CA 96160 and the phone is (530) 587-4161.
This policy explains what this website collects, why, and what you can do about it. It covers this website only. It does not cover what happens on someone else’s site that we link to, and it does not change any written agreement you have with us for actual work. 2. What we collect
2.1 Information you type in. Our quote and contact forms ask for your name, a phone number, and a description of the pavement you want looked at. An email address is optional. We ask for the minimum we need to call you back about a job.
2.2 Information the chat assistant collects. The chat bubble on this site is an AI assistant. If you use it, what you type is processed to generate a reply, and if you share contact details so we can follow up, those details and a transcript of the conversation are emailed to our office. Section 4 covers this in detail.
2.3 Information collected automatically. Like nearly every website, our host records standard server log data: IP address, browser type, the pages requested, and the time. This is ordinary web-server operation, used for security and troubleshooting.
2.4 What we do not collect. We do not take payments on this website, so we never see a card number here. We do not ask for a Social Security number, a driver’s license, or any government identifier. We do not knowingly collect anything from children (see section 9).
3. How we use it
3.1 To answer you. The overwhelming majority of what we collect exists so a person can call you back about your pavement, usually within one business day.
3.2 To do the work. If you become a customer, your contact details and the description of the property are used to schedule, quote, and complete the job, and to reach you about it afterward. Communications about an active job are covered in section 6 of the Terms of Service.
3.3 To keep the site working. Server logs and the bot check described in section 5.3 are used to keep the site up and keep automated spam out of the forms.
3.4 What we do not do with it. We do not sell your information. We do not rent it. We do not share it with third parties for their own marketing. We do not run advertising retargeting off this site.
3.5 Text messages. If you opt in to text messages by checking the box on a form, we use your phone number to text you about your quote and project. Message frequency varies, and message and data rates may apply. You can opt out any time by replying STOP, or reply HELP for help. We do not share your mobile number or your texting consent with third parties or affiliates for their marketing. See the Terms of Service for the full texting terms.
4. The AI chat assistant
4.1 What it is. The chat bubble is an AI assistant trained on information about our services, our season, and our service area. It is software, not a person.
4.2 Where your words go. Messages you type in chat are transmitted to Anthropic, the provider of the underlying AI model, which processes them as a service provider in order to generate a reply. Under our configuration these conversations are not used to train the provider’s models.
4.3 What reaches us. If you give the assistant contact details so we can follow up, that information and a transcript of the conversation are emailed to our office and to YelloPost, the web agency that operates this website and its lead systems on our behalf as our service provider.
4.4 What not to type into it. Please do not share sensitive personal information in chat. There is no reason a pavement quote needs a financial account number, a medical detail, or a government identifier. If something is sensitive, call (530) 587-4161 instead.
4.5 It can be wrong. The assistant can make mistakes about scope, timing, or what a particular property needs. Nothing it says is a quote or a binding commitment. See Terms of Service section 5.
7. Your rights
7.1 California. Under the California Consumer Privacy Act as amended, if you are a California resident you have the right to know what personal information we have collected about you, to request deletion of it, to request correction of it, and to not be discriminated against for exercising those rights. We do not sell or share personal information as those terms are defined by the CCPA, so there is no opt-out link to provide.
7.2 The categories we handle. In CCPA terms, we collect identifiers (name, phone, optional email), internet activity (server logs), and the contents of messages you send us. We collect them for the business purposes in section 3 and keep them as described in section 8.
7.3 Nevada. Nevada residents may direct a business not to sell covered personal information. We do not sell it, but you are welcome to send the request and we will confirm in writing.
7.4 How to exercise any of this. Call (530) 587-4161 or write to P.O. Box 34032, Truckee, CA 96160. We will respond within 45 days. We may need to verify who you are before acting, which for a small contractor usually means matching your request against the phone number or job on file.
7.5 Authorised agents. You may use an authorised agent, in which case we will ask for proof of the authorisation.
8. How long we keep it
Quote requests that never become jobs are kept while they might still be useful and then discarded. Records tied to actual work, including job records and correspondence, are kept for as long as we need them for business, tax, and legal purposes. Server logs rotate on our host’s ordinary schedule. If you want your information removed sooner, see section 7.4.
9. Children
This is a website about asphalt maintenance. It is not directed to children, and we do not knowingly collect information from anyone under 13. If you believe a child has sent us information, call (530) 587-4161 and we will delete it.
10. Security
This site is served over an encrypted connection. Form submissions travel over that same encrypted connection and are delivered by email. Access to our systems is limited to the people who need it. No method of transmission over the internet is perfectly secure, and we will not pretend otherwise, but we do not store payment data or government identifiers on this site, which limits what there is to lose.
11. Changes to this policy
If this policy changes we will update the date below and post the revised version here. Material changes will be reflected on this page rather than announced by email, so check back if the question matters to you.
